Privacy Notice
This notice explains how the Black Country Orthodox Trust, on behalf of the Orthodox Parish of the Nativity of the Mother of God, Walsall, looks after your personal information.
1. Your personal data – what is it?
Personal data (also known as personal information) is any information that identifies someone, and any information that relates to that identified person. Identification can be by the information alone, or together with any other information we hold or are likely to hold. The processing of personal data is governed by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. Who are we?
The Black Country Orthodox Trust, on behalf of the Orthodox Parish of the Nativity of the Mother of God, Walsall, is the data controller. It gives responsibility for managing and maintaining your personal data to its Data Control Officer, the Trust Secretary (contact details below). This means that the Trust, in consultation with its trustees, decides how your personal data is processed and for what purposes.
3. How do we process your personal data?
The Trust complies with its obligations under data protection law, in particular the relevant parts of Articles 6 and 9 of the UK GDPR. We do this by keeping personal data up to date; by storing and destroying it securely; by not collecting or keeping more data than we need; by protecting personal data from loss, misuse, unauthorised access and disclosure; and by making sure appropriate technical measures are in place to protect it.
We use your personal data for the following purposes:
- for the clergy to provide pastoral care to parishioners
- to provide a voluntary service for the benefit of the public, as set out in our constitution
- to administer membership records
- to raise funds and promote the interests of the charity
- to manage any employees and volunteers
- to maintain our own accounts and records, including processing Gift Aid claims
- to operate this website and deliver the services people have asked for
- to let people know about news, events, activities and services at the church, and to ask for their views on current or new services
- to contact parents about Sunday School, and adults about catechism and similar activities
4. Sharing your personal data
Your personal data will be treated as strictly confidential. It will be shared only with the parish priests and members of the board of trustees, or those the Trust has delegated, so that they can carry out their role. We will not share your data with anyone outside the parish without your consent, other than the service providers that run this website (see "This website" below).
5. How long do we keep your personal data?
Trustees and those acting for them, other than those maintaining ongoing parish records, hold your data only for as long as is needed to complete a task. We keep your personal data for no longer than reasonably necessary for the purposes listed above. We aim to update your details at least every three to five years, so that our records stay accurate and we stay in touch. We also keep a historic record of parish members – by "member" we mean those who have paid their membership subscription, and others who attend the church and give us their personal data.
6. Your rights and your personal data
Unless a legal exemption applies, you have the right to:
- ask for a copy of the personal data the Trust holds about you
- ask us to correct any personal data that is inaccurate or out of date
- ask us to erase your personal data when we no longer need to keep it
- withdraw your consent to processing at any time
- ask us to restrict processing while a dispute about the accuracy or use of your data is resolved
- complain to the Information Commissioner's Office (ICO)
